Adding a New Customer
To add a customer manually:
- Tap Customers in the navigation, then tap + (top right).
- Fill in the required fields:
- First and last name (or Business name for commercial accounts).
- Phone number — used for SMS notifications and AI Voice call matching.
- Email address — used for invoices, estimates, and job summaries.
- Service address — the location where work is performed. You can add multiple addresses per customer (e.g. home and rental property).
- Optional but recommended:
- Account type — Residential or Commercial.
- Tags — custom labels for filtering (e.g. "VIP", "Annual contract", "Referral - Google").
- Internal notes — anything the team should know before visiting (gate code, aggressive dog, park in driveway).
- Tap Save Customer.
Creating a Customer from a Job
If you receive a call for a new customer, you can create the customer record on the spot while creating the job:
- Start a new job (+ → New Job).
- In the customer field, tap + New Customer.
- Enter their details — you'll be returned to the job with the new customer already selected.
Editing Customer Details
Open the customer profile and tap Edit (pencil icon, top right). All fields can be updated at any time. Changes take effect immediately across all open jobs and future invoices.
Managing Multiple Service Addresses
Many customers — especially commercial clients or landlords — have more than one service location. To add an address:
- Open the customer profile → Addresses tab.
- Tap Add Address.
- Enter the address and give it a label (e.g. "Main Office", "Warehouse", "Unit 4B").
- When creating a job for this customer, select the specific address from the dropdown.
Customer Tags
Tags make it easy to filter and segment your customer list. Common tags:
- VIP — prioritise scheduling and response time.
- Annual contract — customers on a service agreement.
- Do not call — prefer text or email only.
- Commercial — for filtering to business accounts.
- Referred by [name] — track your referral sources.
Create tags in Settings → Customers → Tags and apply them from any customer profile.
Archiving vs. Deleting
Archive a customer when they're no longer active but you want to preserve their history. Archived customers are hidden from the default list but searchable and fully accessible.
Delete a customer only when you need to fully erase their data (e.g. GDPR request). Deletion is permanent — all associated jobs, invoices, and notes are removed.
To archive: Open customer profile → ··· → Archive Customer.
