AI-Powered Scheduling with Calendar Composer

What Is Calendar Composer?

Calendar Composer is CrewBrix's AI scheduling assistant. Instead of manually dragging jobs around the calendar to eliminate conflicts and minimise drive time, you describe what you need and the AI proposes an optimised schedule for your review.

Calendar Composer is available on Business and Enterprise plans.

Opening Calendar Composer

1. Go to the Calendar tab.
2. Tap the AI Compose button (sparkle icon, top right).
3. The Composer panel opens alongside your calendar.

Telling the AI What You Need

The Composer accepts natural language instructions. Examples:

• "Schedule all unassigned HVAC jobs for tomorrow with Marcus and Dani, keeping them on the north side of the city."
• "Optimise today's schedule to reduce drive time — Marcus starts at home in zip 30301."
• "I have 3 urgent jobs that need to fit in today without moving any existing appointments."
• "Fill any gaps in next Wednesday's schedule with jobs from the unscheduled queue."

The AI reads your existing schedule, technician availability, job locations, skill requirements, and the unscheduled job pool to produce a proposal.

Reviewing the AI's Proposal

After the AI generates a schedule:

1. A side-by-side view shows the current schedule and the proposed schedule.
2. Changes are highlighted in the proposed view.
3. The AI shows its reasoning: "Moved Job #47 to 2pm for Marcus to reduce drive time by 23 minutes."

You can:

• Accept all — apply every change.
• Accept individually — tap each change to accept or reject it one at a time.
• Reject all — discard the proposal and try again with different instructions.

Conflict Detection

Even without Composer, the AI constantly monitors your calendar and flags conflicts:

• Overlapping jobs for the same technician.
• Jobs assigned to a technician without the required skill.
• Jobs scheduled when a technician has marked themselves unavailable.
• Insufficient travel time between back-to-back jobs.

Conflict alerts appear as red badges on the Calendar tab.

Unscheduled Job Pool

The AI Composer can pull from the Unscheduled Job Pool — jobs that have been created but not yet given a date or technician. View this pool by tapping Unscheduled at the top of the calendar.

When you ask the Composer to "fill gaps", it draws from this pool first, prioritising older jobs and jobs marked as higher priority.

Constraints the AI Respects

• Technician skills and certifications — won't assign an unlicensed technician to a job that requires certification.
• Technician availability windows — set in each team member's profile.
• Travel time — estimates drive time based on job addresses and applies buffer automatically.
• Existing confirmed appointments — Composer never moves a job that was explicitly locked.
