Using Job Templates

Create reusable templates for your most common jobs so technicians can book them in seconds with all the right details pre-filled.

What Are Job Templates?

Job templates are reusable presets for your most common service types. Instead of filling in the same fields every time you book a furnace tune-up or a drain clearing, you save that information once as a template and use it as a starting point for future jobs.

Templates can store:

  • Job title and description
  • Default job type and service category
  • Estimated duration
  • Default assigned technician or crew
  • Default materials and line items (pre-loaded onto the job for billing)
  • Internal checklist items
  • Required photos or documentation

Creating a Template

  1. Go to Jobs → Templates (tap the template icon in the Jobs toolbar) or navigate to Settings → Job Templates.
  2. Tap New Template.
  3. Fill in the template details:
  • Template name — descriptive but short (e.g. "AC Tune-Up — Residential").
  • Default job description — this pre-fills the job description field every time the template is used.
  • Estimated duration — helps with scheduling accuracy.
  • Default materials — add any parts or supplies that are always used (e.g. air filter, lubricant). These appear as line items on every job created from this template.
  • Checklist — optional; add inspection or task checklist items that technicians complete in the field.
  1. Tap Save Template.

Using a Template When Booking a Job

  1. Tap +New Job.
  2. At the top of the new job form, tap Use Template.
  3. Select the relevant template.
  4. All pre-filled fields are applied instantly. You only need to fill in:
  • Customer name and address.
  • Scheduled date and time.
  • Assigned technician (if not already set in the template).
  1. Tap Save.

Editing a Template

Changes to a template do not affect jobs already created from it — only new jobs going forward. To edit:

  1. Go to Settings → Job Templates.
  2. Tap the template name.
  3. Make your changes and tap Save.

Activating and Deactivating Templates

Deactivate a template to hide it from the template picker without deleting it. Useful for seasonal services (e.g. hide "Heating System Startup" in summer).

Toggle the Active switch on any template in Settings → Job Templates.

Tips

  • Create one template per distinct service type. An "HVAC Tune-Up" and an "HVAC Emergency Repair" should be separate templates — they have different durations, checklists, and materials.
  • Add your most expensive materials to templates so they're never forgotten on an invoice.
  • Use the checklist feature to enforce quality standards — technicians must check off each item before marking a job complete.
