Sending Estimates to Customers
Create and send professional estimates before a job starts. Customers can approve with a tap, automatically converting to a job.

Creating an Estimate
- Tap + → New Estimate (or open a customer profile and tap New Estimate).
- Fill in:
- Customer — existing or new.
- Estimate title — a short description (e.g. "HVAC System Replacement").
- Line items — add labor, materials, and fees with descriptions and prices.
- Notes — any terms, disclaimers, or scope clarifications.
- Valid until date — how long the estimate is good for.
- Tap Preview to see exactly what the customer will see, then tap Send.
Sending Options
- Email — the customer receives a branded PDF and an online approval link.
- SMS — a short message with a link to the estimate (no PDF attachment; better for customers who prefer text).
- Print — generate a PDF to hand to the customer on-site.
Customer Approval
When the customer receives the estimate, they can:
- Approve — one tap; the estimate converts to a job automatically.
- Request Changes — the customer leaves a comment; you're notified to revise and resend.
- Decline — the estimate is closed; you're notified.
You can see real-time status on every estimate (Sent, Viewed, Approved, Declined) in Billing → Estimates.
Converting an Approved Estimate to a Job
When a customer approves:
- You receive a push notification: "[Customer Name] approved your estimate."
- Open the estimate and tap Convert to Job.
- Select the scheduled date, assign a technician, and tap Save.
All line items, notes, and photos from the estimate carry over to the job automatically.
Revising an Estimate
If the scope changes before work starts:
- Open the estimate and tap Edit.
- Make your changes and tap Resend to Customer.
A new version is created; the customer sees the updated estimate with a version number and change summary.
