Tracking Technician Time with Time Clock

Let technicians clock in and out on each job, then use the time data for payroll, billing, and job costing.

How Time Clock Works

Time Clock lets technicians record the exact time they start and stop work on each job. The data is:

  • Attached to the job — so you know total labor hours per visit.
  • Summarised per technician per week — so payroll and billing are accurate.
  • Exportable to CSV or PDF — for your payroll processor or accounting software.

Clocking In

When a technician arrives at a job:

  1. Open the job in the CrewBrix app.
  2. Tap Clock In.
  3. A running timer appears at the top of the job screen.

GPS coordinates are captured at clock-in (used to verify on-site presence, not stored permanently).

Clocking Out

When the work is done:

  1. Tap Clock Out on the job screen.
  2. The time entry is saved: date, clock-in time, clock-out time, total hours.

If a technician forgets to clock out, a reminder notification is sent after 8 hours. Managers can manually edit time entries.

Viewing Time Entries

On a job: Open the job → Time tab. You'll see every clock-in/out entry for that job, including which technician clocked the time.

By technician: Go to Team → [Technician Name] → Time Clock. Filter by date range to see total hours worked.

Weekly summary: Go to Billing → Payroll Summary for a table of all technicians' hours by week.

Editing Time Entries

Managers and Owners can edit a time entry if a technician forgot to clock in or made an error:

  1. Open the job → Time tab.
  2. Tap the time entry to edit.
  3. Adjust the clock-in or clock-out time and tap Save.
  4. An audit note is added automatically recording who made the change.

Exporting for Payroll

  1. Go to Billing → Payroll Summary.
  2. Select the date range (typically the pay period).
  3. Tap Export.
  4. Choose CSV (for Excel / payroll software) or PDF (for printing).

The export includes each technician's name, total regular hours, and any overtime hours (calculated based on the overtime threshold you set in Settings → Billing → Payroll Settings).

Overtime Rules

Set your overtime threshold in Settings → Billing → Payroll Settings:

  • Daily overtime — hours worked beyond X per day (e.g. 8 hours).
  • Weekly overtime — hours worked beyond X per week (e.g. 40 hours).

CrewBrix flags overtime hours in the payroll summary but does not process payroll directly — export the data to your payroll software (e.g. Gusto, QuickBooks Payroll) for payment processing.
