Stop comparing feature lists in isolation

The test journey
Incoming request
Can the system identify a returning customer, preserve the original source, collect the service address and problem, and assign the next action without duplicate entry?
Scheduling decision
Can the office see real availability, skill or territory constraints, and the existing promises already on the calendar? Ask what happens when the requested time is not eligible for direct booking.
Field context
Can the technician see the customer history, equipment or property notes, approved scope, and recent communication without calling the office for a recap?
Changed scope
Many jobs change after arrival. Test how photos, notes, estimate changes, approvals, and schedule effects remain connected to the same job.
Invoice and payment
Build the invoice from the completed work. Check payment status, receipts, failed payments, and the link back to the customer and job. Do not accept a finance dashboard as proof if the underlying record is hard to inspect.
The next visit
Look at the same customer six months later. Verify that service history, equipment, unresolved notes, and recurring-work context are still usable.
Questions for AI features
Ask which records the AI can read, which actions it can prepare, which actions require approval, and how activity is reviewed. Test a stale-memory conflict: if an old remembered detail disagrees with the current job or invoice, the current system of record should win.
Questions for implementation and cost
Separate recurring subscription, seats, usage, communications, payment fees, onboarding, migration, and optional add-ons. Confirm what is live in the plan you are buying and what requires configuration.
Make the decision observable
Score each system on the number of handoffs, duplicate entries, unclear owners, and disconnected records in your test journey. The best software for your company is the one that makes the real week easier to understand and control—not the one with the longest checklist.
