Technician capacity calculator
How much work can this team actually carry?
Translate headcount and paid time into a simple productive-capacity scenario. Replace every example with your real staffing, utilization, and job-duration assumptions.
Paid tech hours
840
Technicians × days × paid hours.
Productive job hours
546
Paid hours × productive-time percentage.
Monthly job capacity
218.4
Productive hours ÷ average job duration.
Jobs / tech / day
2.08
Capacity spread across the technicians and workdays entered.
Where spreadsheets stop
Capacity is not the same thing as availability.
Two teams can have the same theoretical hours and completely different operating capacity because skills, geography, job duration, customer windows, emergency work, cancellations, parts, overtime, and existing commitments are different. Use this calculator for the first approximation. Use the actual Schedule and Team context for dispatch decisions.
Demand
How much qualified work is actually trying to enter the schedule?
Capacity
How much productive team time exists under realistic assumptions?
Assignment
Which technician can actually perform this job in this place and time?
Turn the model into an operating workflow
The number only matters if the business can act on it.
CrewBrix connects demand, customers, scheduling, jobs, field work, estimates, invoices, payments, recurring revenue, and Brix so the operating problem behind the calculation can live in one system.
FAQ
Questions behind the model.
What does technician capacity mean?
This calculator defines capacity as the amount of productive technician time available for jobs under the inputs you provide. It does not account for every real-world constraint such as skills, geography, parts, overtime, cancellations, emergency work, or job mix.
What should I use for productive time percentage?
Use your own historical estimate for the share of paid technician hours that can actually be allocated to the job duration you are modeling. Travel, meetings, training, callbacks, breaks, admin, and other non-job time can reduce this percentage.
Can CrewBrix use capacity in scheduling?
CrewBrix's scheduling model connects jobs, appointments, assignments, technicians, and operating context. Capacity planning is most useful when the business can compare demand with the actual team and schedule rather than a spreadsheet in isolation.
